DESCRIPTION OF EXECUTIVE COUNCIL AND CLASS OFFICES

The Executive Council has four officers: President, Vice President, Secretary, and Treasurer; and a Social Chairperson. The student body elects each in the spring. The council also consists of two representatives from each medical school class and graduate school student representatives.
The constitution of the Executive Council designates three standing committees: athletic, social, and student union. The president appoints the chairpersons of these committees with approval of the council.

The president, with approval of the council, also appoints a chairperson for student exercise room; student lounge; student union; athletics; social events; electronic information; and representatives to the LSUHSC AHEC, Library, Parking, and Student Affairs committees.

The council receives its operating funds from that portion of the university fees designated for student activities. One of the activities is a back to school party. This party is in honor of all the incoming freshmen and is held in the Biomedical Research Institute Atrium. The party is always catered by one of Shreveport's finest restaurants. The Executive Council sponsors a crawfish boil in the spring and is responsible for upkeep of the student lounge & exercise room, and the student union. Help is always needed with these and other projects, and your participation is strongly encouraged.

Executive Council meetings are held on a designated day once a month. Students are encouraged to become involved with the council and all suggestions and recommendations are welcomed. Remember--this is your Executive Council.

Duties of Executive Council Officers and Executive Council Representatives

President

  • The President shall call and preside over Executive Council meetings. In the absence of the Executive Council, he shall have full executive power and shall act for the Student Body when necessary; he is responsible, however, to the Executive Council. The President shall appoint chairs to all standing committees not existing as elected positions.

Vice President

  • The Vice President shall preside over the Executive Council in the absence of the President. He shall be responsible for maintaining the effectiveness of standing and special committees created by the Executive Council.

Secretary

  • The Secretary shall take minutes of all Executive Council meetings and record all resolutions adopted. The Secretary shall also be responsible for Executive Council correspondence.

Treasurer

  • The Treasurer shall have available at each regular meeting the current financial records of the Executive Council.

Class Representatives

  • The Representatives shall act as liaisons between the Student Body and the Executive Council. Each representative shall carry the opinions of fellow class members to Executive Councilmeetings and shall keep his class members informed of Executive Council actions via oral or written communications within one week of meetings.


Duties of Class Officers and Representatives

As school begins, it will soon become evident that freshmen often find themselves in need of effective channels of communication. The most direct avenue is through the class officers. It is the duty of the officers to respond to the demands of students and represent them to the administration, faculty, and staff. Class leadership, to be effective, requires the active concern and cooperation of the entire class.

Inasmuch as the class does not know one another on first entering the school, provisions are made for class representation prior to the actual election of officers. Students interested in temporarily representing the class should contact the current Executive Council president during orientation. Generally, an interested student also is selected to attend the student Executive Council meetings for the first weeks of school. The class officers have similar duties as their Executive Council counterparts.

President

    • coordinates class activities
    • organizes exam challenge committees
    • makes class announcements
Vice President
    • assumes responsibilities of the president in his/her absence

    • serves as assistant to the president in the planning and implementation of all class activities and social events
Secretary
    • handles all class correspondence

Treasurer
    • assumes responsibilities for all financial affairs of the class

    • organizes collection of class dues
Social Chairperson
    • main coordinator of social events (post-test parties)

Although these duties seem quite independent of each other, it is to the officers' advantage to work together as a unit in planning class functions. Class dues (to be determined by class officers, usually around $25.00) are a necessity for class activities. Be a responsible student and pay them. Alumni Affairs Committee Representatives (Two Representatives from each Medical School Class) Attend the general meetings of the Alumni Affairs Committee. It is anticipated that these representatives will serve as liaisons to their class, not only during the school years, but also after graduating. Community Service Chairman This office was developed to help with the annual tradition, Camp Tiger, the LSU School of Medicine summer camp for disabled children. Responsibilities include planning and running the camp (with the help from the sophomore class representatives), and working with the chairmen of several committees including: Activities, Food, Fund Raising, Public Relations, Transportation and T -shirts. You must be able to attend the camp, which is held in early June and you must be willing to help next year's freshman class continue the camp. Comprehensive Care Committee Representative Attend the committee's meetings as a representative of the class' concerns. One representative is elected from each medical school class. Comprehensive Care is one of the unique aspects of the Shreveport curriculum. Junior students in Comp Care are assigned their own patients to follow over an extended period. This gives students a view of the long-term responsibilities of care. Students on this committee can assist in the further development of this valuable portion of their education. Executive Council Representatives Represent the medical school and graduate school on the Executive Council (see page 1)Financial Aid Representative Each medical school class elects one individual to serve on the Financial Aid Committee. The Financial Aid Committee will serve as a voice for the student body by meeting with the director of Student Financial Aid to review and discuss financial aid policies, procedures, and changes. The Financial Aid Committee will meet at least once during the semester/term and as the need arises. Representatives will be responsible for reporting the results of the meeting to their respective class members and/or the Executive Council. The representative should be someone who is currently receiving financial assistance through the federal student aid programs.


Honor Council Representatives (Two Representatives from each Medical School Class and Two Representatives from the Graduate School)

Serve on the Honor Council to assure preservation of ethics within the class and school. Some of the functions of the Honor Council are to make the students aware of the school's policies on cheating; to meet periodically to assure that students are complying with the regulations; to recommend to the faculty ways to eliminate conditions, which are conducive to violations; and to help promote positive attitudes among students concerning their professional behavior. The Honor Council chairman is chosen in a school wide election. The members of the council must be respected by their classmates and maintain a strict confidentiality in all matters pertaining to violations.

Organization of Student Representatives (OSR)

The Organization of Student Representatives is the Association of American Medical Colleges (AAMC)'s student voice. On the national level, OSR members gather at an annual meeting each fall when the administrative board is elected; this twelve-member body meets three times each year , along with the boards of the other AAMC councils, to formulate AAMC's programs and policies. OSR business is also conducted at regional spring meetings. OSR members channel information from the AAMC to their student bodies and vice versa. Medical students should contact their OSR Delegate with concerns about medical education. This is no longer an elected position. Interested students should see the current OSR delegate or Dr. Mark Platt, Assistant Dean for Student Affairs. Student Affairs Committee Representative Represents the class on the faculty committee overseeing issues that relate to the students. One person from each class is elected to serve on the Student Affairs Committee. The Sophomore, Junior and Senior class reps. are automatically appointed by the Executive Council President to serve on the Student Affairs Committee of the Executive Council. This Committee identifies areas of student life that can be improved and then initiates projects and programs to implement changes. The medical student members inform the Committee of any innovative ideas, student grievances, or concerns. Subcommittees address specific issues such as; parking, residency programs, student handbooks, and student health insurance. Usually, a meeting is held every month and the student representatives are expected to attend. It is a committee that encourages student involvement and input.

Athletic chairman (1 student): This position is responsible for planning and coordinating the annual EC golf tournament and acts as a correspondent with LSU-S intramural sports in order to deliver all the necessary information about available sports to all the students at the medical and graduate school.

Social chairman (2 students): Two committee co-chairs will plan and coordinate all social events sponsored by EC including the annual crawfish boil, EC officer retreat, and a possible school-wide fundraiser event for Camp Tiger.

Student union chairman (1 student): The committee head will attend to any new improvements to the current student union. The chairman is also responsible for coordinating with the social co-chairs to encourage use of the union by students. Periodic checks of the student union will be expected, and this chairman will also be responsible for the condition of the student union at all EC sponsored events.

Student exercise room chairman (1 student): The committee chairman will be responsible for any indicated improvements or purchasing of equipment for the student exercise room. The chairman will also be expected to perform periodic check-ups of the exercise room and report any evidence of vandalism or theft to the equipment.

Student lounge chairman (1 student): The committee chair will be responsible for any indicated improvements or purchasing of furniture and/or entertainment items for our student lounge. The chairman will also be expected to perform periodic check-ups of the lounge to assess the condition of the furniture and entertainment supplies, and to report any evidence of vandalism or theft. The chairman is required to always strive to make our student lounge aesthetically pleasing.

Electronic information chairman (1 student): The committee chair is responsible for maintaining and improving the main student website. This chairman is required to have sufficient website design and programming knowledge. The site is required to be updated at least on a monthly basis.

AHEC chairman (1 student): The committee chair is responsible for correspondence with the AHEC program and family medicine office to provide adequate information and resources for all students. The chairman is required to keep up with current changes or amendments to the application processes for AHEC and all of the available locations for students to participate in this community service opportunity.

Educational Resources chairman (1 MSII and 1 MSIII): The co-chairmen are required to act as liaisons for the student body to the library department concerning any changes, ideas, or complaints. These co-chairs are required to organize the EC biannual book sale at the beginning of every semester. This includes procurement of all books and disbursement of all funds concerning the book sale.

Parking chairman (1 MSII and 1 MSIII): The co-chairmen are required to attend monthly parking committee meetings with the legal affairs department. The co-chairs are also required to act as liaisons with students concerning any comments or complaints about parking rules and regulations.

Student affairs chairman: (1 MSII, 1 MSIII, and 1 MSIV): These co-chairs will address specific issues such as residency programs, student handbooks, and student health insurance. Usually, a meeting is held every month and the student representatives are expected to attend. This is a committee that encourages student involvement and input.

Daycare center chairman (1 student): The committee chairman will assess the need of daycare services provided for students and residents. The chairman will work closely with administration to organize potential plans and logistics toward the development of a daycare center.

Foundation student representative (1 MSII or MSIII): The student representative is a non-voting member of the Foundation Board of Directors. The primary goals of the Foundation are expanding the awareness and enhancing financial support for LSU-Shreveport. This student will work closely with other members of the Foundation to accomplish these objectives. The student must be an MSII or MSIII in good academic standing. The student will be appointed by and voted on by voting members of the Executive Council and the outgoing student representative.
